Company & legal information
Privacy Policy
How TECH SOLUTIONX LTD uses personal information from website visits, recruitment enquiries, candidates and employer contacts.
Last updated:
1. Who is responsible for your information?
TECH SOLUTIONX LTD is the controller responsible for the personal information we use to respond to enquiries and provide our specialist permanent IT recruitment service. This notice covers candidates, employer contacts, other people who contact us and visitors to our website.
Our current setup handles initial enquiries through our recruitment email inbox. We do not currently use a CRM or candidate database. The recruitment sections below also explain how information will be handled if discussions progress to a search or introduction. We will update this notice before introducing materially different systems or uses.
TECH SOLUTIONX LTD, trading as Tech Solutionx.
Company number: 13751963. Registered in England and Wales.
Incorporated: 18 November 2021.
Registered office: 16 Robert Road, Exhall, Coventry, England, CV7 9GU, United Kingdom.
Email: recruitment@techsolutionx.co.uk
For privacy questions or requests, email recruitment@techsolutionx.co.uk or write to our registered office.
2. Information we collect and where it comes from
- Enquiries: your name, contact details, organisation, enquiry type, message and subsequent correspondence.
- Candidates: professional experience, skills, qualifications, career interests, location and working preferences, salary expectations, availability, and any CV or professional-profile information you choose to share.
- Employers: the contact details and job roles of people involved in hiring, vacancy requirements, technical environment, interview arrangements and feedback.
- Website visits: technical request information such as IP address, request time, pages requested, browser or device information, referring page where supplied, and security/error records processed by our hosting services.
Information comes from you, your organisation, people you authorise to contact us, and the technical requests your browser makes. A professional-profile link you provide may also supply information relevant to your enquiry. If we obtain your personal information from another source for recruitment, we explain that source and the relevant processing when we contact you, unless a lawful exception applies.
Providing recruitment information is voluntary, but we may be unable to respond or assess relevance without suitable contact and professional details. Please do not include identity documents, health information, criminal-record information or other sensitive information in an initial enquiry. If a later recruitment stage needs additional information, we explain the purpose and applicable basis before requesting it.
3. What the contact form actually does
The current form creates a mailto: link in your browser and asks your email application to open a draft addressed to our recruitment inbox. You review and send the email yourself. The form does not submit its fields to a website endpoint, store them in a website database or upload a CV.
Once you send the email, its contents are processed through the email services involved and received in our inbox. Your email application may save a draft under its own settings. Your email provider’s terms and privacy information apply to its service.
Hosting and network services still process website requests and technical logs when you visit the contact page, even if you do not send an email. We do not add form field values to website page URLs or use them for website analytics.
4. Why we use information and our lawful bases
- Responding to enquiries and maintaining professional contacts: our legitimate interests in communicating with people who contact us and operating a relevant recruitment service.
- Discussing candidate experience, matching requirements and coordinating introductions or interviews: our legitimate interests, and those of candidates and employers, in making relevant permanent recruitment connections. This requires consideration of people’s reasonable expectations and privacy rights.
- Managing a contract with you personally: where necessary, performance of that contract or steps you ask us to take before entering it. For contacts acting on behalf of a company, our normal basis for business communications is legitimate interests.
- Keeping the website available and addressing security, misuse or errors: legitimate interests in maintaining a reliable and secure service.
- Meeting applicable legal duties: compliance with the relevant legal obligation. Keeping necessary evidence to establish, exercise or defend legal claims may also be based on legitimate interests.
- Optional uses that specifically rely on consent: consent for the stated purpose, which you can withdraw. This notice does not treat sending an enquiry or reading the policy as blanket consent to unrelated uses.
We use information that is relevant to the purpose and consider whether our legitimate interests are outweighed by your rights. We explain any materially different use before it begins. The website does not score candidates or make automated hiring decisions.
6. How long information is kept
We determine retention by the reason a record is held, rather than applying one period to every enquiry:
- Initial enquiries: completion of the conversation and any reasonably necessary follow-up, including whether the enquiry remains active.
- Candidate/search records: whether an agreed search, application or introduction is still active and whether keeping the details remains relevant to the relationship you have asked us to maintain.
- Business and legal records: the applicable statutory duties, the nature and date of the engagement, and any outstanding complaint or legal claim that requires evidence.
- Technical logs: the time needed for hosting operation, investigating errors or security events, and the applicable provider arrangements.
We review information when an enquiry or search closes, when you tell us your circumstances have changed, and when any relevant legal need ends. We delete or anonymise records no longer needed for an identified purpose. A request to delete information is considered against any continuing legal requirement or necessary claim-related record. Contact us for the criteria relevant to your information.
7. International processing
We have not arranged for people outside the UK to access candidate or employer records. Our current recruitment enquiry handling is through the business email inbox, without a CRM or candidate database.
Hosting and email-provider processing is separate from that access arrangement. Provider infrastructure, support and sub-processors may involve processing outside the UK. The account-specific hosting and mailbox processing countries have not been confirmed, so we do not represent that all information stays in the UK.
Where a provider makes a restricted international transfer, an applicable mechanism is required: for example, UK adequacy regulations or appropriate contractual safeguards, together with any required assessment. Hostinger’s published Data Processing Addendum, which covers our website hosting, describes contractual transfer provisions, including standard contractual clauses and the UK International Data Transfer Addendum where applicable. These published provisions do not, by themselves, identify the countries used by our particular account.
Contact us at recruitment@techsolutionx.co.uk for information about provider processing and relevant safeguard documents. We will review these arrangements before adding a CRM, overseas access or another materially different use of recruitment information.
8. Website technology, cookies and traffic records
The current public pages load our local stylesheet, images and shared navigation/contact script. The website’s own code does not set cookies, write to browser local/session storage, or embed advertising pixels or a separate browser analytics script. Our browser review on 25 October 2026 observed no cookies being set during visits to the public pages.
Hosting, delivery and security services still receive technical requests and may keep logs or generate service traffic statistics. Cookie observations do not establish that a visit produces no personal information. The site is hosted through Hostinger; technical processing can take place within its delivery and security infrastructure without an extra script appearing on the page.
Browser or email-provider settings apply to those separate services. If the website later introduces additional cookies, analytics or similar technologies, we will update this information and provide the information and choices required for those uses before they operate.
9. Your choices and rights
Depending on the processing and applicable law, you can request access to your personal information, correction, erasure, restriction of processing and transfer of information where the portability right applies.
You have the right to object to processing based on legitimate interests, on grounds relating to your particular situation. You can object to direct marketing at any time.
If we rely on consent for a particular use, you can withdraw it at any time by emailing recruitment@techsolutionx.co.uk. Withdrawal does not affect the lawfulness of processing before withdrawal. Asking us to consider a role or introduction is not a general authorisation for unrelated processing.
To make a request, use the email or registered office above. We may need proportionate information to confirm identity and locate the relevant records. Some rights are subject to exceptions; where a request cannot be met in full, we explain the reason and the applicable options.
10. Privacy questions and complaints
You can make a data protection complaint directly to us at recruitment@techsolutionx.co.uk or by writing to our registered office. Describe the concern and how we can contact you. We will consider it and respond in accordance with the applicable requirements.
You also have the right to complain to the UK Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint for its current complaint process and contact options.
11. Updates to this policy
We update this notice when our services, technology or information handling change. The date at the top identifies this version. Where a material change affects how we use your information, we will provide any further notice required. For questions about this policy, contact recruitment@techsolutionx.co.uk.
